How Brightwheel prices a center

The quote is driven by two things:

  • Your licensed capacity or active enrollment. More children, higher price. The jump between tiers can be steep.
  • Which plan tier you're on. Brightwheel packages features into tiers, and billing, some reporting, and certain admin tools sit on the higher ones. The demo tends to show the top tier; the quote you're offered may be a lower one with pieces removed.

Because it's negotiated, the list price is a starting point. Centers that push back, or that are switching from a competitor, often report a lower first-year number that steps up at renewal.

What centers actually report paying

Rough 2026 ranges by size, from what's commonly shared in operator groups and reviews:

  • Under 30 children: ~$150–$250/month
  • 30–60 children: ~$250–$400/month
  • 60+ children or multi-room: $400/month and up

Treat these as directional. The only way to know your number is to get the quote — and to get it in writing, with the renewal price stated.

The costs that aren't in the sales call

Card processing on your tuition

When families pay through Brightwheel, standard card-processing fees (roughly 2.5–2.9% plus a per-transaction fee) come out of the tuition. On $20,000/month collected online that's $500–$580 every month — frequently more than the software subscription itself. Ask whether that rate is standard or marked up, and whether families can pay by bank debit (ACH/pre-authorized debit), which is far cheaper.

Tier upgrades

If billing or a specific report turns out to be on a higher tier than you were quoted, that's a mid-contract upgrade conversation.

Is Brightwheel worth it?

For a multi-location operation with dedicated admin staff that leans on Brightwheel's integrations and brand recognition with families, it's a capable, well-supported product and the price reflects that.
