In a daycare, an expired certification is not an administrative detail. It can complicate an inspection and, more importantly, leave a group of children without anyone trained.

Exact requirements vary by type of childcare service and role. Confirm them with the Ministère de la Famille or your association.

What to track

  • First aid and CPR training
  • Background checks
  • Educator diploma or training
  • Any other certification specific to your permit

Why a spreadsheet is not enough

A spreadsheet doesn't warn you. Someone has to remember to open it, and the information is often scattered across paper files, emails and the director's memory.

A four-step system

  1. One record per certification, with the issue date and the expiry date.
  2. The document attached to the record, so you can find it in ten seconds.
  3. Staggered reminders, for example at 60, 30 and 7 days.
  4. A clear renewal: the old certification stays in history, the new one takes over.

How MyLittleWorld helps

In the Quebec tools, the owner creates certifications, attaches private documents (PDF or image) and picks one to six reminders, by default at 60, 30 and 7 days. A daily job generates the alerts and always flags certifications that have already expired. Documents are only visible to the owner.
